Front Desk Coordinator/Administrator
FULL TIME: 8:00 to 5:00
Job Duties & Dealings With:
- Phone Systems (cellular & digital lines)
- All incoming calls
- All Voice mails
- All peripherals
- Dispatch Tech Support
- Provide Track It info
- Provide Driving direction
- Track Company Tech, cell phones, & Equipment
- Provide time check- in
- Collect Track & Write up from Tech
- Maintain Work Order Database (Track-IT)
- Maintain Vendor & Client Listings
- Maintain Copy/Fax Center Supplies
- Sales support
- Vendor Pricing
- Estimate Preparation & tracking
- Establishing travel & lodging
- Project Expense Tracking & Support
- RMA request, process, & track
- Receive incoming packages
- Track outgoing packages
- Inventory Control
- Monitor Lock Up
- Provide Techs with necessary equipment
- Track all tools and items removed/returned
- Update Inventory file
- Calculating Time Audit Reports
- Check WO against Time Audit
- Labor Hours by day/week/Month
- Incoming /Out going Mail
- Incoming Call
- Filing
- Work Orders
- Client /Vendors
- Credit Card Accounts
Also will include knowledge of and support of company collections, sales and accounting activities.
Must have the ability to multi-task within a small office environment. Must be self managed with good written and verbal communication
skills for customer service and providing direct assistance to the technical and sales reps of the company.
Position Qualifications & Requirements:
- Degree or Certification and or equivalent work experience.
- Excellent organizational skills
- Strong computer and Internet skills
- Knowledge of MS Office and QuickBooks helpful.
- Positive attitude
- Must be reliable
